NBA planning guide

Plan your NBA Self-Assessment Report with traceable evidence and clear ownership.

A practical workflow for coordinating SAR preparation. The current NBA manual and submission instructions for the programme in scope remain the authoritative source.

Applicable manualEvidence mappingReview workflow
1 · Confirm the applicable source

Start with the programme category and current manual.

NBA publishes separate materials for different programme categories, including UG Engineering Tier I and Tier II. Its website has also announced a new SAR for UG Engineering Tier I. Do not assume that a manual or template for one category applies to another.

Before building an internal checklist, record the programme, category/tier where applicable, manual title and version/date, relevant accreditation cycle, and any official clarifications. Re-check the NBA publication page before each submission cycle.

2 · Build a traceable work plan

Connect every SAR item to its evidence and owner.

Use the official manual's terminology and references when creating an internal register. The register is a coordination aid—not an alternative to the prescribed SAR format.

  • Requirement reference: preserve the exact criterion, section or table reference from the applicable manual.
  • Evidence definition: note the expected record, source system or document, period covered and responsible department.
  • Data and calculations: identify the source for reported figures, calculation method and the person responsible for validation, where relevant to the applicable requirement.
  • Accountability: assign a contributor, reviewer and final approver where the institution's governance requires these roles.
  • Review trail: record version, review date, open questions, corrections and approval status.
  • Submission readiness: check that the report follows the official structure, file rules and submission instructions for the cycle.
3 · Use OBE evidence carefully

Keep outcome-related records connected to the prescribed criteria.

NBA's public accreditation guidance describes an outcomes-based approach. Where the applicable manual asks for outcome-related information, institutions should maintain a clear connection between the prescribed definition, source data, calculation method, review and supporting evidence. Do not copy a formula or reporting expectation from another programme or manual without confirming applicability.

Accredia360 can help teams coordinate requirement ownership, evidence collection, reviews and readiness visibility. It does not certify the correctness of institutional data or determine an NBA accreditation outcome.

4 · Maintain version control

Keep your internal process aligned with official updates.

Assign an owner to monitor the relevant NBA publications and official notices. When guidance changes, record the change, identify affected work items, update internal instructions and communicate the revision to contributors and reviewers. Preserve previous submissions and approved evidence according to institutional policy.

Important: This guide is general workflow guidance, not legal, regulatory or accreditation advice. Confirm all criteria, eligibility, formats, deadlines and assessment rules directly with NBA for the relevant programme and cycle.

5 · Coordinate formal submission and evaluation

Move from internal approval to the prescribed NBA process.

After internal review, follow the current e-NBA instructions for the programme in scope. Depending on the applicable process, this can include the approved pre-qualifier, fee steps, prescribed SAR submission and coordination of proposed visit dates. Do not infer a deadline or prerequisite from a different programme manual.

  • Confirm submission readiness: verify that the prescribed SAR, annexures, source records and required approvals are complete for the applicable programme.
  • Use the official portal: submit through the channel and format required by NBA; retain the submitted version, acknowledgement and relevant correspondence.
  • Coordinate the evaluation visit: nominate institutional coordinators, brief relevant programme staff and make requested records available in accordance with official instructions.
  • Track clarifications: record questions, responsible responders, evidence supplied and response dates without altering the authoritative submitted record.
6 · Review the official outcome

Keep authority decisions separate from internal readiness status.

Accreditation decisions and formal communications belong to NBA. When a communication or report is received, route it to the responsible institutional authority, preserve the official version and document any response required by the applicable rules.

  • Record the decision and the date it was formally communicated.
  • Assign follow-up actions only where the official communication or institutional policy calls for them.
  • Keep any response, appeal or compliance process aligned with the specific decision and current NBA rules; do not assume one universal timeline.
7 · Maintain the improvement record

Turn review findings into controlled follow-up.

Use the internal workflow to assign owners, deadlines and closure evidence for improvement actions. Keep a link between each action and the official observation or internal finding that prompted it, and retain the previous approved SAR and evidence versions under institutional policy.

  • Separate official findings from internal recommendations.
  • Record action owner, target date, status, reviewer and closure evidence.
  • Review changes to official NBA publications before the next accreditation cycle.
