Start with the right methodology

Confirm the category, year and applicable instructions first.

NIRF publishes methodology and data requirements for ranking categories and disciplines. Begin with the current official documents for the category you intend to submit to; do not assume every category uses an identical data template or metric definition.

Confirm category and cycle

Record the ranking category or discipline, submission year, official methodology version and internal approval owner.

Build a metric register

Break applicable requirements into metrics, data fields, reporting periods, source records and named contributors.

Set internal deadlines

Plan collection, departmental review, reconciliation and final sign-off ahead of the official submission deadline.

Parameter groups

Coordinate data across the applicable NIRF dimensions.

The NIRF overall methodology groups parameters into five broad areas. Their exact metrics, weightings and definitions must be checked against the current methodology and the selected category.

01

Teaching, Learning & Resources (TLR)

Coordinate relevant student, faculty, resource and teaching-related records with the offices responsible for each source.

02

Research & Professional Practice (RP)

Define how research outputs, publications, projects and other applicable indicators are sourced, deduplicated and verified.

03

Graduation Outcomes (GO)

Agree the reporting period and source systems for the relevant completion, examination or graduate outcome data.

04

Outreach & Inclusivity (OI)

Coordinate applicable diversity, inclusion and accessibility data with clear definitions and auditable source records.

05

Perception (PR)

Review the methodology's instructions for perception-related measures and understand which elements are institution-reported versus externally assessed.

Data ownership

Every submitted figure should have an owner and a traceable source.

Use a consistent register so departments know what they must provide, who reviews it and which institutional record supports each value.

  • Assign one accountable owner and any contributors for each metric or dataset.
  • Record the source system or approved document, reporting period, extraction date and responsible office.
  • Define units, counting rules, exclusions and metric interpretations from the current official instructions.
  • Keep supporting records for totals and calculations, not just the final number entered into a form.
  • Track clarification requests, corrections and sign-off so changes remain explainable.
Validation and review

Reconcile the data before the submission is finalized.

A structured internal review helps teams find inconsistencies early; it does not replace the official submission rules or any external verification.

Cross-check totals

Compare reported figures with approved annual reports, finance records, HR data, research systems and other authoritative sources as relevant.

Control versions

Keep a record of data updates, reviewer comments, the approved version and the date of sign-off.

Protect data quality

Limit access appropriately, resolve duplicate records and document exceptions instead of silently changing source values.

Submission readiness

Use a controlled final review before submitting.

  • Verify that the correct category-specific methodology and template are being used.
  • Check mandatory fields, reporting periods, units and required supporting material.
  • Resolve missing data and document approved exceptions or explanations.
  • Obtain the required institutional approvals and retain a copy of the submitted version and acknowledgement.
  • After results are published, review official data and feedback to inform the next cycle; do not treat internal estimates as predicted ranks.
Official source and verification

Use the current NIRF methodology as the authority.

Metric definitions, category coverage and reporting requirements may change by ranking cycle. Confirm details directly from the Ministry of Education's NIRF portal before preparing or approving data.

NIRF data preparation FAQs

These answers explain internal planning practices, not official ranking interpretations.

No. Consult the current methodology and documents for the specific category or discipline; do not assume the overall methodology applies unchanged to every category.

No. A tracker helps organize and validate information. It cannot guarantee a rank or substitute for the official methodology and evaluation process.

Keep the approved source records, calculation support, reporting period, data owner, review comments and final approved submission version required by institutional policy and current instructions.
